Sharing files between offices securely, without slowing anyone down.
Two offices, then three, then a project site and a partner in another country. Somewhere along the way the shared drive turned into email attachments, personal file-sharing accounts and a VPN everyone hates. Here is how to put it back under control without making people slower.
The usual mess
- Each office has its own server or drive, so there are two “current” versions of everything
- Large files crawl over the VPN, so people email them or use their own file-sharing accounts
- Nobody is sure who outside the firm still has a link to what
- Staff start pasting documents into AI tools to find things faster, and nobody knows where that material goes
What good looks like
One governed home for files
Every office works from the same platform and the same folder structure. On Egnyte® that can still look like the mapped drive letter people already know, so nobody has to change how they work.
Speed where the people are
For offices with large files or slow links, a local cache keeps working copies close to the people using them and syncs in the background. The office in Manila does not wait on a server in Hong Kong.
Permissions by group, not by person
Access set by team, office and project, at folder level, so the rules are enforced rather than requested. When someone leaves or moves office, one change removes or adjusts everything.
Outside parties without attachments
Clients, consultants and partners get expiring, recipient-only links and upload links into a single exchange folder. There is a record of who opened what and when, and access ends when the job does.
Security that watches the content
Sensitive files classified automatically, unusual activity flagged — a mass download before someone resigns, or ransomware starting to encrypt files — and the ability to roll back to a point before the damage.
Where the AI fits, and why it has to be inside
People will use AI to find and summarise documents whether you provide it or not. The safe version is AI that works inside the same platform and the same permissions: it can only answer from files the person asking is allowed to open, shows its source, and leaves a record.
Egnyte® now also gives administrators one view of every AI tool connected to company content and what sensitive material each can reach, so a tool someone connected on their own can be seen and narrowed. That turns AI from a leak into a control.
Across borders
Where data has to stay in a particular country, or a mainland office needs reliable access, decide where data is stored and how each office reaches it before the move, not after. It is a design question, not a setting you change later.
How to get there
Map what you have
Where files live now, who uses them, which are sensitive, and who outside the firm has access.
Design the structure and permissions
One folder model for every office and project, with access by group.
Move in phases, around live work
Office by office, out of hours, so nobody loses a working day.
Switch on the controls, then the AI
Classification, alerts and external sharing rules first. AI search and agents once the structure is right.
