Most businesses have the documents. Very few can produce them — complete, current, in order — inside a fortnight without pulling three people off live work.
I review how information is controlled, rebuild it where it does not hold, and put an AI layer on top so people can find things without knowing where they were filed.

- Big files stop being a daily argument. Drawings, models, video, photo libraries — they appear as an ordinary drive on the desktop, open at normal speed, and do not fill anybody's laptop. No more zipping things to send
- It works properly in the mainland. A team in Shenzhen or Shanghai opens the same file at usable speed as the team in Hong Kong. For a lot of firms this alone is the reason to move
- You can see and control everything. Who can open what, who did open it, what left the building and who sent it. Links that expire on a date you choose, and access you can withdraw the day somebody leaves
- Nobody has to change how they work. It sits behind Microsoft 365, Google Workspace, Outlook, AutoCAD, Bluebeam and the rest. Staff carry on using the same programs
- You can ask questions instead of searching. “What did we agree with the client about the lighting spec?” gets an answer, with the document attached — rather than twenty minutes of guessing at filenames
- It becomes your private knowledge base. Everything the firm has learned and written since it started, in one searchable place. When somebody retires, what they knew does not walk out with them
- It links into AI safely. The AI only sees what you allow it to see, which is the question a sensible owner asks first and most vendors answer last
- It gives back time, visibly. The hours currently lost to hunting for the current version, re-sending files, and redoing work somebody had already done
On size. Large organisations use this, which is where the vendor's own marketing tends to point. That is not the interesting part. The interesting part is that a ten- or fifty-person firm can have exactly the same control over its information, for a sensible monthly cost, running properly inside a fortnight.
On buying it. And if you already hold a licence, expect me to switch on what you are paying for before I sell you anything new. Most firms are using about a third of it.

What gets built
The rebuild runs on Egnyte. Folder structure, permissions by group, and controls set at folder level so the rules are enforced rather than asked for.
On top of that sit the registers the business actually runs on, feeding a director’s view that turns a pile of documents into the two or three numbers that actually tell you where the money and the risk are. What those numbers should be is different for every business, and working that out is most of the value.
Commercial data stays in a separate register with its own access, covering procurement lead times, payment claim dates and retention.
What the platform already gives you
- Office to site — site staff work from the same current set as the office, on a phone, and upload photographs and records straight into the job folder rather than into a chat thread
- External sharing — expiring recipient-only links from a single exchange folder; consultants and suppliers send documents back through upload links, so nothing arrives as an email attachment and nobody needs an account
- Co-editing — two people work in the same register at once, in the browser
- Integration — works with Microsoft 365 or Google Workspace rather than replacing them
- Recovery — version history and snapshot rollback from a bad overwrite, with threat detection and rollback on the mid tier upwards
AI-powered
Finding things without knowing where they were filed.
A well-built folder structure only helps the people who understand it. The AI layer helps everybody else — which is most of the business.
Egnyte’s intelligence layer is a named set of capabilities rather than a vague promise. What they are, and what they are actually good for:
- AI Search — natural-language questions instead of keywords. "What did we agree about the ceiling void in April" rather than guessing at a document number
- AI Assistant — asks and answers across your own content, with the source shown
- AI Agents — agents working off your organisation’s data rather than the open internet
- AI Workflows — document-centric approvals and routing driven by policy, off the record itself rather than a parallel spreadsheet
- AI Safeguards — controls over what the AI is allowed to see. The part most people forget to ask about, and the first thing a board asks about
- Automated metadata, OCR and content enrichment — classification applied on upload, so filing stops depending on whoever happened to save the file
I will be straight about this: the AI layer is worth having once the underlying structure is right, and close to worthless before that. Fix the filing first. That is usually the order I will insist on.
Data rooms
For a raise, a sale, a board, or a dispute.
A data room is a document management problem with a deadline and an audience who are looking for reasons to discount you.
I have built these for capital and advisory firms — Terramillem Capital and Turnaround Asia Advisors among them — with controlled external access, expiring recipient-only links, permissions by group, and a record of who opened what and when.

- Access by party, revoked cleanly when a bidder drops out

- Members areas and board portals on the same basis, for material that has to stay available but controlled

Contractors
Why this matters more than it did.
ISO 9001 clause 7.5 — documented information. Not something that can be tidied up in the fortnight before an audit.
Security of Payment Ordinance, in force since August 2025 — adjudication runs to a short timetable and is entirely documentary. Slow retrieval is now a cash problem rather than only a compliance one.
